1. About Xplore Holiday
Xplore Holiday is a travel planning and tour operating company based in Siliguri, West Bengal, India. We design, plan and deliver leisure, corporate, MICE, destination wedding, special interest and cruise journeys across India, Nepal, Bhutan, Sri Lanka and South East Asia.
2. Enquiries & Bookings
All quotations shared based on enquiries are indicative and subject to live availability of hotels, flights, transport and other services at the time of confirmation. A booking is treated as confirmed only after we receive the agreed advance payment and a written confirmation from you.
3. Payments
Payment terms may vary depending on the package, group size, hotel category, destination, season, and service providers. You may be required to pay an advance amount at the time of booking, with the balance payable as per the agreed payment schedule before travel or before service delivery.
Failure to make payment on time may result in cancellation, modification, or release of booked services, and any resulting cancellation charges may apply.
4. Package Price
Package prices are based on the services set out in the confirmed itinerary. Prices may change prior to confirmation due to factors including:
- Hotel availability and seasonal rates
- Fuel price and airfare changes
- Government taxes, levies, and permit fees
- Currency fluctuations
- Changes in group size
- Changes requested by the client
Any service not clearly mentioned in the confirmed package inclusions will be treated as an extra and charged separately.
5. Cancellations and Refunds
Cancellation charges depend on the time of cancellation, the hotels and airlines involved, permit conditions, season, and supplier policies. Specific cancellation terms will be shared with the confirmed itinerary and apply to the booking. Refunds, where applicable, will be processed after deducting non-refundable supplier charges and bank fees, within a reasonable time after written confirmation of cancellation.
6. Changes to Itinerary
Xplore Holiday reserves the right to modify an itinerary due to weather, road conditions, strikes, landslides, flight delays, safety concerns, government restrictions, local conditions, or other circumstances beyond our reasonable control. Wherever possible, we will offer suitable alternatives. Any additional cost arising from such changes shall be borne by the client, unless otherwise agreed in writing.
7. Travel Documents
Travellers are responsible for carrying valid documents, including, as applicable:
- Government-issued photo identity
- Passport and visa, where required
- Permits for restricted or protected areas
- Travel insurance
- Flight or train tickets
- Health or vaccination documents, where required
Xplore Holiday will assist where possible, but responsibility for holding accurate and valid documents remains with the traveller. We are not liable for any loss arising from missing, invalid, or incorrect documents.
8. Health, Safety & Conduct
Travellers are responsible for their own health, fitness, safety, and personal belongings. Any guest with medical conditions, dietary needs, mobility concerns or special requirements must inform us in writing before confirming the booking. Xplore Holiday reserves the right to decline service to any traveller whose conduct may, in our reasonable view, affect the safety, comfort or experience of fellow travellers or service providers.
9. Insurance
Comprehensive travel insurance is strongly recommended for all journeys. Unless expressly mentioned as included, insurance is not part of any package and must be arranged separately. Xplore Holiday is not liable for losses, medical expenses, or evacuation costs that would otherwise have been covered by insurance.
10. Cruise & Special Interest Bookings
Cruise and special interest holidays are operated by third-party cruise lines, river-cruise operators, and specialist partners. Cabin allocation, sailing routes, ports of call, onboard inclusions, and shore excursions are governed by the operator’s terms and may change without notice. Final confirmation depends on live availability and the operator’s sailing schedule.
11. MICE, Corporate Groups, and Destination Weddings
For corporate events, incentive groups, MICE programmes, and destination wedding travel management, final costing and arrangements depend on group size, venue, hotel category, transport requirements, technical setup, meals, event flow, and special services. Additional event services such as decoration, sound, lighting, photography, artist management, venue branding, or hospitality desk arrangements will be charged separately unless expressly included in the confirmed proposal.
12. Force Majeure
Xplore Holiday shall not be liable for any delay, cancellation, loss, injury, additional expense, or service failure caused by events beyond our reasonable control, including natural disasters, landslides, floods, earthquakes, strikes, political disturbances, road closures, government restrictions, pandemics or epidemics, technical failures, or airline disruptions.
13. Limitation of Liability
Xplore Holiday acts as a coordinator and facilitator between travellers and independent service providers such as hotels, airlines, transport companies, cruise lines, restaurants and local operators. We are not liable for any act, omission, default or negligence of these independent suppliers. To the maximum extent permitted by law, our total liability for any claim arising out of a booking is limited to the amount actually received by us for that booking.
14. Photography & Media
Photographs or videos taken during the tour by our team or representatives may be used for promotional purposes on our website, social media or marketing material. If you do not wish to be featured, please inform us in writing before the start of the tour.
15. Intellectual Property
All content on this website, including text, imagery, itineraries, designs, brand marks and graphics, is the property of Xplore Holiday or its licensors and is protected under applicable intellectual property laws. You may not reproduce, distribute or use any content without our prior written consent.
16. Governing Law & Jurisdiction
These Terms & Conditions are governed by and construed in accordance with the laws of India. Subject to any applicable consumer-protection rights, any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the competent courts at Siliguri / Jalpaiguri, West Bengal, India, unless otherwise agreed in writing.
17. Changes to These Terms
Xplore Holiday may update these Terms & Conditions from time to time. The version in force at the time of your booking will apply to that booking. The current version is published on our website with the “Last Updated” date shown above.
